It is reasonable to charge a fee that covers the organizer’s actual losses and administrative costs, often between 150 and 500 SEK as an administrative fee or 10–35% of the camp fee. The amount depends primarily on how much time is left until the camp starts and whether the spot can be sold to someone else.

According to the Swedish Consumer Agency (Konsumentverket) and current practice, the following guidelines usually apply:

If the cancellation occurs early

  • Administrative fee: The organizer has the right to charge a reasonable amount (usually 150–500 SEK) for administrative costs incurred during registration and cancellation.
  • If the camp is a purchased service, you as the organizer have the right to charge for the actual economic damage caused by the cancellation.
  • Exception – the 14-day rule: If the participant registered remotely (via internet/phone) and the agreement is made with a company, a 14-day right of withdrawal applies under the Distance Contracts Act (Lagen om distansavtal och avtal utanför affärslokaler). In this case, no fee may be charged.

If the cancellation occurs close to the camp start date

  • The closer to the start of the camp the cancellation occurs, the harder it is for the organizer to find a replacement. Therefore, it is common for the fee or the retained percentage to increase.
  • If the cancellation happens so late that the spot cannot be filled, it is customary practice that the organizer has the right to charge a fee covering administrative costs and any locked-in expenses (e.g., pre-booked food or materials). However, the exact amount should be specified in the terms and conditions.
  • Many organizers have a policy to refund a large portion of the fee (e.g., 75%) if the participant can provide a medical certificate in case of illness.

Points to consider as an organizer or participant

  • Prior information: It is crucial that the cancellation terms were clearly communicated and accepted at the time of registration.
  • The Consumer Services Act (Konsumenttjänstlagen): When a service is cancelled, the trader is entitled to compensation for their costs in accordance with the rules for Cancellation of a product or service (Avbeställning av vara eller tjänst).
